Gift Cards
Overview
This document explains how to manage gift cards within the Point of Sale > Gift Cards section. It covers viewing, editing, activating, and importing gift cards, as well as adding or spending value.
Viewing Gift Cards
- Access gift cards via Point of Sale > Gift Cards.
- The first screen displays a list of all gift cards with basic details.
- Use the search field to find gift cards by entering all or part of the card number.
Editing Gift Cards
- Click Actions > Edit Gift Card to view more details, including expiration dates and notes.
- You can add value or spend value from the edit screen.
Adding Value
- Click Add Value.
- Enter the dollar amount.
- Optionally, set an expiration date.
- Select the appropriate funding bank.
- Add notes if needed; the admin performing the action is logged for reporting.
Spending Value
- For transactions not processed through an integrated point-of-sale system, enter the dollar amount as a negative value.
- Select the spending bank for accounting purposes.
- Add notes (e.g., purchase details) for record keeping.
Activating Gift Cards
- From the gift card page, click Activate.
- Enter the dollar amount and select the funding bank (default or specific, e.g., for different campaigns).
- For physical cards, manually type the card code exactly as it appears on the card (QR code, barcode, or magnetic strip).
- For digital cards, click Generate to have a unique code created.
- Add notes for tracking special purposes or customers if desired.
- Optionally restrict the gift card to a specific point-of-sale system (e.g., only merchandise).
- Set an expiration date by checking the box and selecting the date; unspent funds will be returned to the funding bank once expired.
Emailing Gift Cards
- For digital gift cards, check the option to email the card and enter the recipient's email address.
- Customize the email template via Settings > Notifications, then edit the e-gift card template using the WYSIWYG editor or HTML mode.
Importing Gift Cards
- If activating multiple gift cards or importing gift cards from another system, navigate to Settings > Imports and select the "Gift Cards" import type.
- Format your Excel file as a CSV ensuring each required column is correctly spelled, ordered, and formatted.
- Monitor the progress bar:
- Green indicates a successful import.
- Red indicates errors. If errors occur, check your file against the provided instructions.
