Cash Back

Return a percentage of point-of-sale purchases to members as spendable cash back, and see what each member has earned.

Cash Back gives members a percentage of what they spend at your point of sale back as spendable cash back — money in their account rather than points on their balance.

Cash Back lives inside the Point of Sale section, which only appears for programs that have point of sale turned on. If you don't see Point of Sale in your menu, your program isn't set up for it — talk to your Fanmaker contact.

Cash Back is not Point Scoring

These two live next to each other in the Point of Sale menu and get mixed up constantly, so here's the difference in one line each.

  • Point Scoring decides how many points a transaction earns.

  • Cash Back decides what percentage of a transaction comes back to the member as cash back.

They're separate rule sets with separate pages, and they don't replace each other. A program can run both, and the same purchase can be picked up by rules from each.

If what you want is "spend $20, get 200 points," that's Point Scoring. If what you want is "spend $20, get $1 back to spend later," that's Cash Back.


Creating a cash back rule

  1. Go to Point of Sale › Cash Back and select New Rule.

  2. Pick the POS. This determines which transactions the rule applies to. You'll see the standard options — NCR, Bypass Mobile, Hockey Lodge, Erply, and Kore — plus any point of sale app connected to your own program.

  3. Enter the Rule Value. This is a percentage: enter 2.5 for two and a half percent back. It has to be greater than zero.

  4. Optionally narrow who qualifies using User Tags (see below).

  5. Select Create Rule.

Every rule created here is a percentage-back rule — that's the only cash back shape the admin offers today, and it's why the Type column always reads "Percentage."

Limiting a rule to certain members

The User Tags section is optional, and it works off the tags your program has put on members.

Allow users by tag

Check Allow users by tag and add one or more tags. The rule then applies only to eligible purchases made by a member carrying at least one of those tags.

Turning on Allow users by tag without adding any tags means nobody qualifies. If you want the rule to apply to everyone, leave the checkbox off entirely.

Block users by tag

Check Block users by tag and add tags that should disqualify a member. The rule will not apply to purchases from anyone carrying any of them.

Block tags win. A member who carries both an allow tag and a block tag is not eligible.


Editing and removing rules

Use Edit on any row to change the POS or the percentage.

Editing a rule is not retroactive. Changing the percentage does not re-evaluate cash back members have already earned — it only affects transactions from that point forward.

There is no on/off switch for a cash back rule. If you want a rule to stop applying, Delete it.

Rules also aren't named. On the list and the edit screen they're identified by their POS, type, and percentage, so if you run several similar rules, keep track of which is which by those values.

Reading the rules list

The table shows one row per rule:

  • POS — the point of sale the rule applies to

  • Type — always "Percentage" today

  • Rule Value — the percentage back, for example "5%"

  • Exclusive — shown here for reference; it isn't editable from this page

  • Last Modified — when the rule was last changed

Every one of those column headers is a sort control, so you can click Rule Value to find your most generous rules or POS to group by system. The list pages at 50 rules at a time.

Admins with the read-only role can view these pages but can't create, edit, or delete rules.


Checking what a member earned

Open a member from Members and go to their Cash Back tab.

At the top you get two figures:

  • Cash Back Earned — the total this member has earned on your program

  • Cash Back Spent — the total they've spent

Spent can legitimately be higher than Earned on programs with older point of sale history. It isn't a sign that something is broken, which is why the tab deliberately doesn't show a single "balance" number.

Below that, Cash Back Entries lists every entry with its Date, Source, Type, Earned amount, Spent amount, Status (Fulfilled or Pending), and Notes.

Adding cash back by hand

Sometimes you need to make a member whole after a bad night at the concession stand.

  1. On the member's Cash Back tab, select Add Cash Back.

  2. Enter the Amount (USD) — it has to be positive.

  3. Add Notes explaining why. Future you will be grateful.

  4. Select Add Cash Back.

The entry is recorded as a manual entry and attributed to your admin account, so it's always clear it was issued by a person rather than earned at the register.


Reporting

For everything at once, use the Cash Back Report.

Go to Reports & Imports › Request a Report and open the Point of Sale tab, then request the Cash Back Report. It covers all sources and gives you a row per cash back entry, including:

  • the data source and the rule that produced it

  • earned and spent amounts

  • the originating transaction, location, and location name

  • fulfillment type, fulfillment ID, and whether it was fulfilled

  • the issuing admin and any notes

  • member details — user ID, email, first and last name, and member ID

  • the time the entry was recorded

Finished reports appear under Reports & Imports › Past/Scheduled Reports.


Troubleshooting

A rule exists but nobody's earning. Check whether Allow users by tag is checked. If it is and no tags are listed, nobody qualifies.

A specific member isn't earning. Check their tags against the rule's block list. A block tag disqualifies a member even if they also carry an allow tag.

Earnings look wrong after a change. Editing a rule's percentage doesn't recalculate anything already earned. Existing entries keep the value they were awarded at.

Nothing at all is coming through. Confirm the rule's POS matches the system the transactions are actually flowing from. A rule pointed at the wrong point of sale never sees the transactions.
